This Privacy Policy explains how AdoptIQ Limited processes personal data when you visit our website, engage with us commercially, or use the AdoptIQ platform.
Who we are
AdoptIQ Limited, registered in England & Wales, is the data controller for personal data collected through our website and our commercial relationship with you. For Customer Data processed inside the AdoptIQ platform, we act as a Data Processor — see the Data Processing Agreement.
Personal data we collect
Identity and contact data (name, work email, company, role).
Account data (login credentials, workspace membership, role-based access).
Usage data (pages visited, features used, IP address, device, browser).
Communications (emails, briefing notes, support tickets).
Lawful bases
We rely on the following UK GDPR lawful bases: performance of contract (to deliver the service), legitimate interests (to run and improve our business), consent (for marketing cookies and email), and legal obligation (to meet tax, audit and statutory duties).
How we use personal data
To provide and operate the platform, manage accounts, authenticate users and respond to support requests.
To send service notices, security alerts and — with consent — occasional product updates.
To measure and improve the website and product, and to safeguard the service against abuse.
Sharing
We share personal data with vetted sub-processors who help us run the service (hosting, email, analytics, CRM). The current list is published at /legal/sub-processors.
We do not sell personal data and do not transfer it outside the UK / EEA except to sub-processors covered by UK IDTA / EU SCCs and a transfer risk assessment.
Retention
Account data is kept for the life of the account plus 30 days. Marketing data is kept until you withdraw consent. Financial records are kept for 7 years to meet statutory requirements.
Your rights
Under UK GDPR you have rights of access, rectification, erasure, restriction, portability and objection. Email privacy@adoptiq.co.uk to exercise them.
You can also lodge a complaint with the Information Commissioner's Office (ico.org.uk), although we'd prefer the chance to put things right first.
